How we handle personal information on this website and in the conversations that start here. Our products run on their own domains, under their own notices.

Who we are, and what this policy covers.

Vantage Business Systems Ltd. (“Vantage”, “we”, “us”) is a software and advisory company with offices in Calgary, Alberta (Canada); Scottsdale, Arizona (United States); and London (United Kingdom).

This policy covers this website — vantagebusinesses.com — and the relationship you have with us as a visitor, an enquirer, or a prospective client. It explains what we collect when you browse the site, email us, or book a discovery call.

It does not cover our products. Task Flow, Data Room, and Books run on their own domains, under their own terms and their own privacy notices, and they process data belonging to the clients who use them. Where we handle personal data on a client’s behalf inside those products, we do so as a processor under a separate written agreement — typically a data processing agreement (DPA) attached to that client’s contract. Ask us for the product-specific notice or DPA if you need it.

What we collect.

Information you give us. If you email us, book a discovery call, or call one of the numbers on this site, we receive whatever you choose to send: your name, email address, phone number, company, and the substance of what you tell us about your business.

Booking a discovery call. Calls are arranged directly with us: you email us or phone one of the numbers on this site, and we schedule the call in that conversation. Whatever details you share to set it up — your name, email address, phone number, timezone, and availability — come straight to us; this site does not use a third-party booking service.

Analytics. We use Vercel Analytics to count page views and see which pages get read. It reports aggregate traffic — pages, referrers, country, device type — and is not used to build a profile of you or to follow you across other websites.

We do not run advertising pixels, retargeting tags, session recording, heatmaps, or social media trackers on this site.

Cookies.

This site sets no advertising or tracking cookies of its own. Vercel Analytics is designed to work without cookies and without storing identifiers on your device.

You can block or delete cookies through your browser settings; this site will be unaffected.

How we use it.

We use the information described above to:

  • Reply to you, and hold the conversation you started.
  • Schedule, prepare for, and follow up on a discovery call.
  • Scope, quote, and deliver work, where a conversation turns into an engagement.
  • Understand how the site is used, so we can make it clearer — in aggregate, not per person.
  • Meet our legal, accounting, and record-keeping obligations.

We do not sell personal information, and we do not share it with third parties for their own marketing.

Our legal basis for using it.

For visitors in the United Kingdom and the European Economic Area, we rely on the following bases under the UK and EU GDPR:

  • Legitimate interests — responding to enquiries, running and improving our own website, and contacting businesses about services relevant to them, balanced against your interests and rights.
  • Steps prior to entering a contract — scoping and quoting work you have asked us about.
  • Consent — where you have opted in to hear from us, which you can withdraw at any time.
  • Legal obligation — where we are required to keep records.

For individuals in Canada, we handle personal information in accordance with PIPEDA and rely on consent as that Act defines it, including implied consent where the purpose is obvious from the circumstances.

Who we share it with.

We share personal information only with the service providers that run this site and our business, and only so far as they need it:

  • Vercel — hosting and analytics for this website.
  • Email, storage, and business software providers — the ordinary tools we use to correspond with you and keep records.

We may also disclose information where we are legally required to, or to establish or defend legal claims.

Where it goes.

We operate from Canada, the United States, and the United Kingdom, and our providers may process data in any of those places. Where personal data moves out of the United Kingdom or the European Economic Area, we rely on the transfer mechanisms available under applicable law — typically standard contractual clauses, or the UK International Data Transfer Addendum — together with the safeguards our providers have in place.

How long we keep it.

We keep enquiry and correspondence records for as long as the conversation is live, and for a reasonable period afterwards in case it resumes. Where an engagement follows, we keep the records associated with it for as long as we are required to for contractual, tax, and professional obligations.

Analytics data is aggregate and is retained by our analytics provider on its own schedule. When information is no longer needed for the purpose it was collected for, we delete it or render it anonymous.

Your rights.

Depending on where you are, you have some or all of the following rights over the personal information we hold about you:

  • Access — ask for a copy of it.
  • Correction — have inaccurate or incomplete information fixed.
  • Deletion — ask us to erase it, where the law requires us to.
  • Restriction and objection — ask us to pause or stop a particular use.
  • Portability — receive it in a portable format.
  • Withdrawal of consent — where we relied on consent, withdraw it at any time, without affecting what we did before you withdrew it.

To exercise any of these, email contact@vantagebusinesses.com. We will respond within the time the applicable law allows, and we may need to verify who you are first.

If you are not satisfied with our response, you can complain to your regulator: in Canada, the Office of the Privacy Commissioner of Canada; in the United Kingdom, the Information Commissioner’s Office; or, in the European Economic Area, your national supervisory authority.

Email from us.

Where we send commercial email, we do so in a manner intended to comply with Canada’s Anti-Spam Legislation (CASL) and equivalent rules in the other jurisdictions we operate in. Every commercial message identifies us, gives a way to reach us, and carries a working unsubscribe. Unsubscribing stops the marketing; we will still reply to a conversation you started.

Security.

We use encrypted connections, role-based access, and reputable infrastructure providers, and we limit access to personal information to the people who need it to do their work. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security — but we take the protection of what you send us seriously, and we will tell you and the relevant regulator about a breach where the law requires it.

Children.

This site is aimed at businesses. It is not directed at children, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.

Changes to this policy.

We may update this policy as our business, our tools, or the law changes. The current version is always the one on this page, and the “Last updated” date above tells you when it last changed. Material changes will be made clear on this page.
